1. Who We Are

Hannibal Area Swing Association is a community dance organization that has provided social dancing opportunities and lessons in the Hannibal, Missouri / Quincy, Illinois / tri-state area since 2021. We operate the website hannibaldance.com and host events at third-party venues.

This Policy is intended to be protective of HASA, our volunteers, instructors, officers, members, and event partners, while being transparent with participants.

2. Information We Collect

Information you provide

  • Name, email address, phone / mobile number, mailing address, and similar contact details
  • Event registration, RSVP, membership, volunteer, or lesson information
  • SMS / text-message opt-in consent records and related preferences
  • Messages you send us (email, web forms, social media, text replies)
  • Payment or donation information processed by third-party processors (we do not store full payment-card numbers on our website)
  • Emergency-contact or accessibility information you choose to provide
  • Photos or testimonials you submit

Information collected automatically

  • IP address, browser type, device information, referring pages, and general usage data
  • Cookies, pixels, and similar technologies used for site function, analytics, and (if enabled) advertising measurement

Information from others

  • Public social-media interactions with our pages
  • Venue, ticketing, payment, email, or SMS service providers acting on our behalf
  • Information a friend provides when they register you or tag you, to the limited extent needed to administer an event

3. How We Use Information

We use information to:

  • Operate hannibaldance.com and administer events, lessons, and social dances
  • Communicate about schedules, cancellations, weather, venue changes, and safety
  • Send SMS / text messages and emails you have consented to receive
  • Process payments, donations, refunds, and related records
  • Maintain community standards, investigate misconduct, and protect HASA and attendees
  • Improve our programs, website, and outreach
  • Comply with law, enforce our Terms, and defend legal claims
  • Create promotional or archival media from public events, as described below

We do not use your information to make automated decisions that produce legal or similarly significant effects about you.

4. SMS / Text Messaging Program

Program name: Hannibal Area Swing Association Text Alerts (or similar HASA event-alert branding).

What you will receive: Recurring automated text messages about HASA events, lessons, social dances, schedule updates, cancellations, venue or weather changes, reminders, and related community announcements.

Message frequency: Message frequency varies. You will typically receive no more than 8 text messages per month. In months with more events than usual, or when last-minute schedule, weather, or venue changes occur, you may occasionally receive more than 8 messages.

Rates: Message and data rates may apply.

Help / Stop: Text HELP for help. Text STOP to cancel. You may also opt out by contacting us using the information below. After you text STOP, we will send you a one-time confirmation of your opt-out. You may re-enroll at any time through a compliant opt-in method.

Consent: Consent to receive texts is not a condition of attending events, taking lessons, making a donation, or purchasing anything from HASA. You must take an affirmative action to opt in (for example, checking an unchecked consent box and submitting a form). Checkboxes will never be pre-selected.

We retain records of your opt-in (date, time, phone number, source, and consent language) as reasonably necessary to demonstrate consent and to operate the program.

Carriers are not liable for delayed or undelivered messages. Delivery is subject to your mobile carrier and device.

Related terms also appear in our Terms and Conditions.

5. Mobile Number Non-Sharing Statement

We do not sell, rent, release, disclose, disseminate, make available, transfer, or otherwise communicate mobile telephone numbers or SMS opt-in data to third parties or affiliates for their marketing or promotional purposes.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of data use described in this Privacy Policy exclude text-messaging originator opt-in data and consent; that information will not be shared with any third parties.

Mobile numbers collected for the HASA texting program are used only to send the messages described in Section 4, to process HELP/STOP requests, to maintain proof of consent, and to comply with law. If we use a texting platform, that vendor may process numbers solely as our service provider to deliver our messages and is not permitted to use those numbers for its own marketing.

6. When We Share Information

Except as stated in Section 5 regarding mobile numbers and SMS consent data, we may share information only as follows:

  • Service providers who host our website, process payments, send email, provide forms, or deliver SMS on our behalf, under instructions that limit their use of the data
  • Venues and event partners solely as needed to run a specific event (for example, a headcount or required waiver), and not for their independent marketing of your mobile number
  • Legal and safety disclosures if we reasonably believe disclosure is required by law, court order, or to protect HASA, attendees, minors, or the public
  • Business or organizational transition if HASA merges, reorganizes, or transfers program operations, subject to this Policy’s mobile-number restrictions
  • With your direction or consent

We do not sell personal information as that concept is commonly understood. We do not sell mobile numbers.

7. Photos, Video, and Event Media

HASA events are public or semi-public community gatherings. We, our volunteers, attendees, venues, and media may photograph or record events. We may use such media on hannibaldance.com, social media, flyers, press, and archives to promote HASA and document our community.

If you do not want to be featured, tell the photographer or a HASA organizer at the event. We will take reasonable steps to avoid close-up promotional use of a person who has clearly opted out, but we cannot guarantee that you will not appear in wide shots, backgrounds, livestreams, or third-party attendee photos. See our Terms and Conditions for the associated license and release.

8. Cookies and Website Technology

Our website may use cookies and similar tools that are necessary for the site to function and, where used, to understand traffic. You can control cookies through your browser. Disabling cookies may limit site features such as forms or embedded calendars.

Embedded third-party content (for example, calendars, videos, payment buttons, maps, or social-media plugins) is governed by those third parties’ policies, not this one.

9. Payments and Donations

Payments and donations may be processed by third parties such as Venmo, PayPal, Stripe, Square, or similar processors. Those companies collect and process payment data under their own terms and privacy policies. HASA is not responsible for their independent practices.

10. Retention

We keep information only as long as reasonably needed for the purposes described in this Policy, including program administration, safety, accounting, legal defense, and proof of SMS consent. SMS opt-out requests are honored promptly; we may retain the number on a suppression list so we do not text you again by mistake.

11. Security

We use reasonable administrative, technical, and physical safeguards appropriate to a community organization of our size. No website, form, or text-message system is completely secure. You provide information at your own risk. HASA is not liable for unauthorized access beyond our reasonable control, including breaches of third-party vendors, venues, or carriers.

12. Children

Our website and SMS program are directed to adults. We do not knowingly collect personal information online from children under 13. A minor may attend selected events only with a parent or legal guardian as described in our Terms. Do not submit a child’s mobile number to the texting program unless you are the parent or guardian and the program is intended for that adult’s phone.

13. Your Choices and Rights

  • SMS: Text STOP to opt out. Text HELP for help.
  • Email: Use the unsubscribe link in a marketing email or contact us.
  • Access / correction / deletion: You may request that we update or delete personal information we hold, subject to our need to keep records for safety, accounting, legal claims, and SMS suppression.
  • Do not sell / share mobile numbers: As stated in Section 5, mobile numbers and SMS consent are not shared for third-party marketing.

We may need to verify your request before acting on it.

14. Third-Party Sites and Venues

Our Services may link to Facebook, Instagram, Venmo, venue websites, maps, and other sites we do not control. Events occur at third-party venues (for example, restaurants, event halls, or community facilities) that have their own camera, Wi-Fi, alcohol, security, and privacy practices. This Policy does not bind those third parties.

15. Changes to This Policy

We may update this Policy at any time by posting a revised version on hannibaldance.com. The “Last Updated” date will change. Your continued use of the website, attendance at events, or continued enrollment in SMS after the update constitutes acceptance of the revised Policy, to the maximum extent permitted by law. For material SMS-program changes, we may provide additional notice consistent with carrier and legal requirements.
